Inactivate System Generated Copy of Tax Agencies in a OneWorld Account

In OneWorld account, when you setup new subsidiary that shares a tax nexus with an existing subsidiary, a copy of the preferred tax vendor for that nexus is created and associated to the new subsidiary.  This copy is necessary since vendors cannot be shared between subsidiaries.  This is called the shadow vendor or shadow tax agency or special tax agency.

These special tax agencies are hidden from the vendor list and they cannot be selected on transactions.  Also, these records cannot be viewed or edited.  If you attempt to edit or view a special tax agency, you will get the following error: "You do not have privileges to view this page".

It is not possible to delete these special tax agencies as well.  A user may opt to inactivate them though.  Below are the steps on how to inactivate a special tax agency:

1. Unmark the Tax Agency box on the vendor category.
  a. Navigate to Setup > Accounting > Accounting Lists.
  b. On the bottom of the list, set Type to Vendor Category.
  c. Look for Tax Agency (internal ID = 3).
  d. Edit the Tax Agency and unmark the Tax Agency box.
  e. Click Save.

2. Inactivate the special tax agencies.
  a. Navigate to Lists > Relationships > Vendors.  The list should now show the special tax agencies.
  b. On the bottom left of the list, mark Show Inactives.
  c. Inactive box should now be added on the list.  Look for the special tax agencies that needs to be inactivated.  Mark the Inactive box on each special tax agency.
  d. Click Submit button on the bottom right.

Note: Inactivating the special tax agency will not result to "No tax agency defined for subsidiary" error when creating transactions.

3. Change the vendor category back to tax agency.
  a. Navigate to Setup > Accounting > Accounting Lists.
  b. On the bottom of the list, set Type to Vendor Category.
  c. Look for Tax Agency (internal ID = 3).
  d. Edit the Tax Agency and mark the Tax Agency box.
  e. Click Save.
