Unable to Edit and Save Journal Entry > error: The account (xxx) is an inactive account. Please correct the import file and resubmit.

The number that is displayed on the error message refers to the Internal Id of the Inactive account which is included in the Journal Entry.

1. Navigate to Home > Set Preferences

2. Under the General tab, set the Show Internal Ids box to True

3. Click Save

4. Go to your Chart of Accounts by navigating to Setup > Accounting > Chart of Accounts or Lists > Accounting > Accounts or Reports > Financial > Chart of Accounts

5. Look for the account with the Internal Id shown on the error

6. Click the Edit link

7. Uncheck the Inactive box

8. Click Save

You should then be able to save the Journal Entry successfully after activating the account. You can set it back to Inactive after saving the entry.

CSV Import of new Customer and Vendor Payments > error: Unable to find a matching line for sublist apply with key: [doc,line].

Scenario:

        ImportCustomer Payment / Vendor Bill Payment viaTransactions > Sales > Import CSV Records with Import Type = Transactions > Record Type = CustomerPayment / Vendor Payment

        CSVImport fails

        CSVresult shows error:  Unable to find a matching line for sublist apply with key: [doc,line].

 

 

Findings:

Either:

        The payment being imported is applied to a transactionthat already has Status = Paid in Full

        Only open A/R(e.g. Customer Invoices) or A/P (e.g. VendorBills, Journals) transactions are available for payment

        Thereis no existing open transaction with the InternalId or External Id specified in the CSV file

        Theincorrect Line number was entered inthe CSV file

        Userdid not map:

        Customer Payment : Undep. Funds field, or

        Vendor Payment : Account field, or

        Currency field (if applicable)

        •         If the payment amount is greater than the remainingbalance on the transaction that the payment is being applied to (overpayingaccidentally).




Solution:

A.    Use the Internal ID encoded in the CSV file toverify if the A/R or A/P transaction is still open(available to be paid) or if it exists in the system:

1.    Navigate to Home > Set Preferences > General tab> Defaults portlet > Show Internal IDs = True

2.    Navigate to Transactions > Sales > CreateInvoices > List or Transactions> Payables > Enter Bills > List

3.    Sort the list by Internal ID then look for the CSV file's Internal ID (s) in the list

 

B.    Use the External ID encoded in the CSV file toverify if the A/R or A/P transaction is still open(available to be paid) or if it exists in the system:

 

1.    Navigate to Transactions > Sales > CreateInvoices > List or Transactions> Payables > Enter Bills > List

2.    Click the Customize View button

3.    Add External ID in the Results tab

4.    Hit the Save button (renaming the Search Titleis optional)

5.    Sort the list by External ID then look for the CSV file's External ID (s) in the list

 

C.    Use the Transaction saved search to look forthe Internal ID / External ID encoded in the CSV file toverify if it is tagged to an A/R or A/P transaction that is still open(available to be paid) or if it exists in the system:

1.    Navigate to Lists > Search > Saved Searches >New > Transaction

2.    Use the Internal ID or Internal ID (Number) or ExternalID or External ID (text) as afilter in the Criteria tab > Standard sub tab

 

D.    Line column value should be tagged to the Line ID of the A/R or A/P Account inthe open transaction

        Basedon Lists > Search > Saved Searches> New > Transaction with these filters under the Criteria tab > Standardsub tab > Line ID = 0 (zero).

                                         i.    Type = Vendor Bill +Account Type = Accounts Payable

                                        ii.    Type = Invoice +Account Type = Accounts Receivable

 

E.    Make sure to map the following:

1.    Customer Payment : Undep.Funds field, or

2.    Vendor Payment : Accountfield, or

3.    Currency field (if applicable)

 

CSV Import to Update Child Matrix Items > error: Could not find any records by this name.

Enter a separate column for the Parent Matrix Item and another column for the Child Matrix Item on the CSV file.

The CSV file will look like this:

 

The above example assumes that the Department field is being updated on the Child Matrix Item record.

Also, under the Item Name/Number column, we need to enter the Child Matrix Item Name only, without including the Parent Matrix Item's name. (e.g. Use Widget rather than Parent Widget : Widget). The Parent : Child format should not be used under this column.

We can also use the Internal Id of the Child Matrix Item instead.

Navigate to Home > Set Preferences > General tab > Defaults section and set Show Internal Ids to True to show the internal id on a list.

 

Unable to Set Preferred Location on Item Records


Normally, a Preferred Location can be set on an inventory type of item. This holds true even if there are existing transactions for that item.

However, there are instances where the Preferred Location field is missing in an item even if the form sets it to display. This happens if the item is a matrix item.

To set a Preferred Location for matrix items:

1. View the item and click its parent item under Subitem of.

2. Edit the parent item.

3. Under Inventory tab > Locations subtab, set the Preferred Location.

4. Hover over More Actions and click on Update Matrix.

5. Mark Include checkbox for subitems you need to update.

6. Click Submit.

7. Click OK.

Import Fixed Asset Alternate Depreciation History Records

Here are the steps on how to upload FAM Alternate Depreciation through CSV.

 

 

A. Prepare a CSV file which contains the following columns:

-Actual Depreciation Method
-Alternate Method (Req)

-Asset
-Date
-Inactive (Yes/No)

-Accounting Book
-Net Book Value
-Period

-Quantity

-Schedule (Yes/No)

-Scheduled Amount

-Scheduled NBV

-Transaction Amount
-Transaction Type

 

B. CSV Import Process:

1. Navigate to Setup>Import/Export>Import CSV Records.

    Import Type = Custom Records
    Record Type = FAM - Depreciation History

    Browse for the file to upload.
    Next.

2. Data Handling - Add. Next.

3. Field Mapping - Map the fields as necessary.

    Make sure that the Alternate Method field is mapped.

    Next.

4. Save mapping (optional) and start importing.

 

Notes:

There is no Minimum Required Field for the Alternate Depreciation History Records Import. The Alternate Method field should be mapped though, if not, information will be imported as Depreciation History Record (Depreciation History tab).

 


These Alternate Depreciation History Records will be uploaded under the Tax Methods>Alternate Depreciation History tab of the Asset Record.

The Records that will be uploaded are for reference purposes only.

Change Default Cost Estimate Type on Item Record

When creating an Inventory Item record, the default Cost Estimate Type is set to Average Cost. User wants to set the default Cost Estimate Type to a different type (e.g. Purchase Price).

Currently, there's no Accounting Preference that would allow user to change the default Cost Estimate Type when creating a new item record. The steps below is an Alternate Solution:

Feature Required: Gross Profit (Setup > Company > Enable Features > Transactions tab > Sales section > Gross Profit).

1. As Administrator, navigate to Customization > Scripting > Workflows > New.

2. Set the following:

 Name: Provide a Name (e.g. Set Cost Estimate Type)
 Record Type: Item
 Sub Types: Select Item Type (e.g. Inventory Part)
 Release Status: Released
 Initiation > Event Based: On Create
 
3. Click Save.

4. Click New State then click Save.

5. Click the State created in Step# 4. In the Actions tab, click New Action.

6. In the Workflow State Type, select Set Field Value.

7. Set the following:

 Basic Information > Trigger On: Before Record Load
 Basic Information > Event Type: Create
 Parameters > Field: Cost Estimate Type
 Value > Static Value > Selection: Select the default value you want to set (e.g. Purchase Price)

8. Click Save.

To test, navigate to Lists > Accounting > Items > New > Inventory Item then check the Sales/Pricing tab to verify if the Cost Estimate Type field would show the expected default value.

Note: Issue# 153698 has been filed as an Enhancement Request to Add a preference to set a default cost estimate type on new items created.

Add Vendors Sublist to a Matrix Subitem record

Add Vendorssublist to Matrix Subitem record 

1.   Navigateto Setup > Company > Enable Features> Items & Inventory.

2.   Onthe Items portlet, mark the MultipleVendors check box.

3.   HitSave.

Note: This will let you add multiple vendors for a matrix item subrecord and choose the Preferred Vendor for that sub record.

Advanced Bin/Numbered Inventory Management: How preferred bins should work in this new feature?


1. For Lot Numbered (LN) Item withoutPreferred Bin (provided a Lot Number is specified on the Sales Order):

- Any Bin Number associated withthe LN with sufficient Available Quantity to satisfy the order is selected bydefault.

- If there are no sufficientavailable quantities on any single Bin number, you need to manually pickmultiple bins to meet the requirement of the order.

2. For Lot Numbered (LN) Item with Preferred Bin (provided a Lot Number isspecified on the Sales Order):

- If the Preferred Bin Number hassufficient quantity available to satisfy the order, the Preferred Bin isselected by default.

- If the Preferred Bin Number hasinsufficient quantity available to satisfy the order, the system will look forother Bin Numbers with sufficient quantity available and will select the otherbin by default, provided the bin is associated to the LN selected in the SO.

- If there are no sufficientavailable quantities on any single Bin number, you need to manually pickmultiple bins to meet the requirement of the order.

 

For Serial Numbered (SN) Items, thebin associated to the Serial Number selected on the Sales Order will be used,whether or not your preferred bin has sufficient quantity available to satisfythe order. This is because Serial Numbers are now associated to a specific bin(made via Bin Putaway Worksheet for existing quantities) hence, you can nolonger select any bins other than the one associated to the SN.

 

Consequently, if you haven'tselected a Lot Number or a Serial Number in your Sales Order, you need tomanually pick each bin on the Item Fulfillment stage after selecting the LN/SN.

View Standard Costing on Item Record

For reviewing standard cost byeffective date and planned standard cost, you can create these saved searchesto review the data and add them as sublist to the item record. Steps below are solution to this concern.

 

A. Search for displayingstandard cost by effective date


A.1. Navigate to Lists > Search >Saved Searches > New > Item


A.2. Navigate to Criteria tab >Standard subtab > Filter column > add Transaction fields… select Type, onDescription, select Inventory Cost Revaluation.


A.3. Navigate to Results tab > Columnssubtab > Field column > add the following:

- Transactions fields… select Date;on Summary Type column, select Group

- Transactions fields… select Location;on Summary Type column, select Group

- Transactions fields… select Item;on Summary Type column, select Group

- Transactions fields… select CostComponent Standard Cost; on Summary Type column, select Sum

On the Sort By field, selectTransaction: Date

Then By field, select Transaction:Item


A.4. Navigate to the Available Filterstab > Filter column> add the following;

- Internal ID (Number), on Label,type Name

- Transaction: Location

- On the Search column, select theItem Record: Effective Date Std Cost; on the Label, type – Std Cost View; onTab column, select Inventory; on the Inventory Item and Assembly/Bill ofMaterials put a tick to select Yes

- On the Search column, select theItem Record: Planned Standard Cost View; on the Label, type – Cost Version View;on Tab column, select Inventory; on the Inventory Item and Assembly/Bill of Materialsput a tick to select Yes

C.3. Click Save

 

After the steps above, you will now see the Standard Cost View on theitem record.


Notes:
1. Std Cost View and Cost Version View tabs contain Inventory Cost Revaluations and Planned Standard Costs respectively.
2. Custom roles should have at least a View level permission of the following to view the sublists contents:
2.1. Revalue Inventory Cost (Setup > Users/Roles > Manage Roles > find the role > Permissions tab > Transactions sub tab)
2.2. Planned Standard Cost (Setup > Users/Roles > Manage Roles > find the role > Permissions tab > Lists sub tab) 

3. On the Criteria subtab, please add Transaction fields...= Line greater than 1 if the customer is only using Inventory Items in order to avoid the inclusion of the Old standard cost in the Cost Component Standard Cost.  

Java Version Recommended by Adaptive Insights

This article is intended for accounts integrated with Adaptive Insights, NetSuite's partner in delivering financial management solutions.

Adaptive Insights recommends using the latest version of Java. To check if the latest version of Java is installed, users may go to www.java.com.

Item Record > Enforce Internally checkbox cannot be unchecked

1. Click the Edit button on the Item record
2. On the Basic tab>Minimum Quantity field>enter a number greater than 0>tab out
3. Enforce Internally check box can now be unchecked

Note that this box is checked by default when creating a new item
Click the Minimum Quantity field to show the Field Level Help and know more about this field

Customer encounters an error message "A component failed to load. Refresh your browser to try again" when accessing sheets in Adaptive Insights

This article is intended for accounts integrated with Adaptive Insights, NetSuite's partner in delivering financial management solutions.

Typically when clients receive this error they need to clear their Java and browser cache.

Please coordinate first with your company's IT before doing the said changes on your system.

The steps are below:

How to clear the Java cache:

1. Depending on your operating system navigate to the following path to open the Java Control Panel
- for Windows 7: Start button > Control Panel > Programs > Java
- for Windows XP: Start button > Control Panel > Java (32-bit)
- for Mac: Apple icon > System Preferences > Java

2. In the Java Control Panel, from the General tab, select the Settings… button under Temporary Internet Files.

3. Select Delete Files…

4. Select Trace and Log Files, Caches Applications and Applets and Installed Applications and Applets.

5. Click OK.

How to clear the browser cache:

Firefox: Go to Options > Advanced panel > Network tab > Cached Web Content section, click Clear Now > click OK
Internet Explorer: Go to Tools > Safety > Delete Browsing History... > deselect Preserve Favorites website data and select Temporary Internet files, Cookies, and History > click Delete

If clearing the Java and browser cache does not resolve the concern, here are a few things they might try:

1. Check the Next Generation Plug In

Navigate to the Advanced tab in the Java Control Panel, and expand the Java Plug-In setting. If it is unchecked, check the box and make sure to close out of all open browser sessions after making the change.

2. Temporary File Settings

Navigate to the General Tab in the Java Control Panel and uncheck Keep temporary files on my computer.

3. Confirm applet is working

Visit www.java.com and click on the Do I have Java? link. Then click on the Verify Java Version link. If their screen looks like the screenshot attached called Applet, then the Java applet is running properly.

4. Check for Multiple Versions

Having older of versions of Java on users' machine can occasionally cause interference with the newer version. Disabling or uninstalling can resolve these issues. The following sections describe how to disable and uninstall previous versions of Java.

Disabling Java

To disable, navigate to the Java Control Panel. Navigate to the Java tab, and click the View button. If there are multiple versions installed, make sure that only Java Version 6 Update 31 is enabled.

Uninstalling Java
To uninstall earlier versions on Java, n
avigate to Start Menu and open the Control Panel. Click on the Uninstall a Program link under the Programs settings.

Assembly Build Transaction Search that will show Quantity to Build

1.  Navigate to Lists> Search > Saved Searches > New > Click on Transaction
2.  On the Criteria tab > Standardsub tab
Select Type field > on the pop upwindow select Assembly Build >click on Set button
Select Main Line > on the pop upwindow select Yes > click on Setbutton
3.  On the Results tab > Columnssub tab > Select Number field andset Custom Label to AssemblyReference Number > Click on Addbutton
