Mass Delete Journal Entries through Inline Editing

To do a mass delete of Journal Entries through Inline Editing, users can do the following steps:

 

1) Navigate to Setup > Company > Enable Features > Company tab > Data Management subtab to check that Inline Editing feature is enabled.

 

2) Create a custom transaction body field to have a column available for inline editing.

    a) Navigate to Customization > Lists, Records & FieldsTransaction Body Fields > New

    b) On the Label field, enter a name for the custom field

    c) Click Applies To tab and mark the Journal check box

    d) Click Save

 

3a) Use Journal Entry List to delete multiple journal entries

    a) Go to Transactions > Financials > Make Journal Entry > List and make sure Inline Editing = ON

    b) Look for any custom field column with pencil mark icon next to it

    c) If none are available, click Edit View

    d) Set created custom field from Step 2 as a result

    e) Click Save

    f) View again Transactions > Financials > Make Journal Entries > List

    g) Either hold down CTRL or Shift key to highlight selected or multiple records.

   Note: In this step all records from the list are selected. All records highlighted are set to be deleted. Please note that this process is irreversible once they are deleted. Please take caution when selecting and deleting your records.

    h) Click Delete on your keyboard

    i) A popup would ask All selected records will be deleted. Are you sure you want to continue? Click OK to continue or Cancel to abort the deletion.

 

OR

 

3b) Create a Saved Search of Journals to be deleted.

    a) Navigate to Lists > Search > Saved Searches > New

    b) Choose Transaction as search type

    C) Enter a Search Title

    C) On the Criteria tab > Standard subtab > add these filters:

                Type = is Journal

                Date = <date of the Journals to be deleted>

                Add filters other filters as necessary

    d) On the Results tab > Columns subtab, add the custom Transaction Body field created on Step 2

    e) Click Save & Run

 

4) Mass delete Journal entries through Inline Editing

    a) Turn on Inline Editing

    b) From the Saved Search Result on Step 3, click the first row of the custom transaction body field column

    c) Press and hold Shift key and click the last row of the column to highlight or select all.

    Note: In this step all records from the list are selected. All records highlighted are set to be deleted. Please note that this process is irreversible. Please take caution when deleting your records.

    d) Hover mouse to the pencil and notepad icon on the first column and click Delete Record.

    e) Apply same steps to other pages

 

Note: The custom transaction body field can be deleted after this process.
